EEESafe & LocalitEEE Privacy Policy
EEESafe Ltd & LocalitEEE (“EEESafe”, “we”, or “us”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use and share it, and your rights regarding that information. It applies to all personal data collected via the EEESafe website, LocalitEEE marketplace, Appliance Safety Register, and any related services or communications. By using our platform, you agree to the collection and use of information in accordance with this policy.
Data Collection and Use
Information You Provide: When you interact with EEESafe, you may provide certain personal information voluntarily. This includes when you register for an account, fill out forms, list an appliance, request a service, or communicate with other users or us. The types of personal data we collect may include, but are not limited to:
- Identity and Contact Data: such as your name, email address, telephone number, and postal address. We may also collect demographic details like your postcode or general location for community grouping purposes
- Account Credentials: such as a username and password (stored in an encrypted form) that you create to log in.
- Profile Information: if you create a profile (for example, as a repairer or a community hub), we may collect information you include in your profile such as a profile photo, biography, certifications or qualifications, business name, and any verification documents you submit.
- Appliance Registration Details: when you register an appliance on the Appliance Safety Register, we collect data about that appliance – for example, the appliance type (washing machine, fridge, etc.), brand and model, serial number, age or purchase date, and potentially its current condition or status. We also record the fact that this appliance is linked to your account (i.e., that you are the registered owner/contact for that item). This “Digital Twin” data forms a life-cycle record for the appliance (including repair history and safety alerts)
- Repair and Service Records: if you use the platform to request or perform a repair, we collect details about the service transaction. For consumers, this might include the issue reported and service requested; for repairers, this includes the diagnostic and repair actions taken, parts used, date of service, and any notes or outcomes (success, recommendations, etc.). We also link the record of who the repairer was, and which appliance was serviced (this constitutes the “repairer connection” data – linking a repairer to an appliance and a user for that service). If you are a certified EEESafe Repairer, we keep a record of your skills and certifications (e.g., which skills or qualifications you have obtained under our program)
- Transaction Data: if financial transactions occur via the platform (such as paying a service fee or a commission, or donations via PLEEECash mechanisms), we will collect information related to those transactions. This may include the item or service purchased, the price, date and time of transaction, and limited payment details. (Note: We use third-party payment processors for handling payments, so we generally do not store your full credit card number or bank account details. We may store references such as a transaction ID, payment method, and status.)
- Communication Data: any correspondence you send to us (emails, support inquiries) or communications through the platform (messages between users, comments, reviews, etc.) may be collected. This includes feedback you provide, survey responses, or entries in any forms or questionnaires.
- Voluntary Information: any other information you voluntarily provide when using our services – for example, if you fill out a profile bio, post in a forum, or provide a reference. If you participate in our community programs or events, we may also collect information relevant to those (like your interest areas or schedule availabilities).
We use the information you provide to operate and improve our services
Specifically, we may use it to create and manage your account, facilitate the interactions you have on the platform (such as connecting you with other users or matching you with appropriate services), and to provide the features of the Appliance Safety Register. For instance, we use the appliance data you give us to check for product recalls and notify you of any safety issues, and to maintain a history of repairs for your reference or for future owners. We use contact information to communicate with you, including sending confirmations, updates, and any necessary legal or service-related notices. If you are a repairer or hub, we may publish some of your profile information on the platform to help other users know about your services (e.g., showing your first name, general location, and repair qualifications on your public profile).
Information We Collect Automatically: When you use EEESafe’s website or app, we also collect certain information by automated means:
- Usage and Technical Data: We collect data about how you use our site – for example, your IP address, browser type and version, device identifiers, pages or features your access, times and dates of visits, and referring website (if you came via a link)
We also track interactions such as clicks, search queries, and how long you spend on pages. This information helps us analyse usage patterns and improve our website’s performance and user experience
For instance, we might analyse which pages are most visited or where users encounter errors, to refine our services.
- Cookies and Similar Technologies: EEESafe uses cookies (small text files stored on your device) and similar tracking technologies (such as web beacons or local storage) to provide and personalise our services. Cookies allow us to remember your preferences and login session, and to collect analytics data about site traffic
For example, we might use a session cookie to keep you logged in as you navigate between pages, and analytics cookies to see which content is popular. We may also use cookies to support any shopping cart or donation features on the site
You can set your browser to refuse cookies or alert you when cookies are being used; however, note that some parts of our site may not function properly if you disable cookies
For more details, please see our separate Cookie Notice (if provided) or the cookie details in this Policy.
- Location Data: If you provide a postcode or allow location services, we may use this to customise content (for example, showing local repairers, Stakeholders or community initiatives near you). We do not track your real-time GPS location without your explicit permission. General location derived from your IP address may be used for analytics or to auto-select region settings.
- Appliance Data from External Sources: In some cases, we might augment your provided appliance information with data from external sources for verification or added value. For example, given a model number, we might retrieve the manufacturer’s specifications or recall history for that model from public databases. This is generally to assist in identifying recalls or safety bulletins related to your appliance. We may also obtain known product recall data from manufacturers or government agencies and match it against the appliances registered in our system. This ensures we have up-to-date safety info for your appliances.
- Aggregated Data: We may derive aggregated data from your personal information and usage of the platform. For instance, we might aggregate data to calculate that “X number of appliances in London were repaired this month” or to track carbon savings from all repairs. Aggregated data does not identify individuals and may be used for analytical purposes, reporting our social impact, or marketing (e.g., sharing statistics about repair success rates).
- EEESafe Terms & Conditions and Privacy content
We use automatically collected data for various legitimate purposes: to maintain the security of our platform (for example, we log IP addresses to detect malicious access attempts)
to measure and improve the performance of our services (seeing how users navigate helps improve interface design), to store your preferences (such as language or cookie consent), and to assist with customer support (logs can help troubleshoot issues you report). We also use this data to generate insights such as usage trends, which help us demonstrate the platform’s impact to stakeholders and continuously improve our offerings.
Purpose of Data Use: In summary, the information we gather is used to understand your needs and provide you with a better service
sending service-related communications, providing recall alerts and safety information tied to your registered appliances, facilitating transactions and payments (through third-party processors), customising the website according to your interests, and (with your consent) sending promotional communications about new features or opportunities that may interest you
We do not use personal data for any purpose incompatible with those described here without your consent.
User Control and Data Rights
EEESafe respects your rights over your personal data. Under data protection laws (including the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018), you have various rights regarding the personal data we hold about you. These include:
- Access: You have the right to request a copy of the personal information we hold about you
This is often called a “Subject Access Request.” We will provide you with a summary of the data we have about you, typically within one month of your request (as required by law). This allows you to confirm the accuracy of the data and check that we are processing it lawfully. We will not usually charge a fee for this service (unless the requests are unfounded or excessive, in which case a reasonable fee may be applied as permitted by law).
- Rectification: If any of your personal data is incorrect or incomplete, you have the right to have it corrected
You can update some information directly by logging into your account (for example, you can change your contact details or email address in your profile settings). For any information not editable by you, you can contact us to request correction. We encourage you to keep your information up to date (e.g., if you move to a new address, update your appliance’s location if it’s relevant for recall notices).
- Erasure: You have the right to request deletion of your personal data in certain circumstances (also known as the “right to be forgotten”). You can delete your account via the platform or by contacting us, and we will remove or anonymise personal data that we are not obligated to retain. For example, if you withdraw from the platform and ask us to delete your info, we will erase personal profile data and identifiers. However, please note that we may retain certain information for legitimate reasons – for instance, to fulfill legal obligations or to resolve disputes. (See the Data Retention section below for more details on what we might keep.) If you have posted public content (like a forum post or review), we may remove or anonymise it upon request, but in some cases the content without your name may remain visible if it is useful to other users (e.g., a help forum thread).
- Objection and Restriction: You have the right to object to our processing of your data in certain scenarios. For example, you can object to processing done for direct marketing or for our legitimate interests if you believe it impacts your rights. You also have the right to request that we restrict processing of your data while a dispute is being resolved (for instance, if you contest the accuracy of data, you can ask us to stop processing it until it’s corrected). When processing is restricted, we can still store the data but not use it until the issue is resolved (except for certain exempt purposes like legal claims).
- Portability: To the extent applicable, you have the right to data portability. This allows you to obtain some of your information in a structured, commonly used and machine-readable format, and to transfer it to another service. For example, you could ask us for a copy of the personal data you provided to us (like your profile info and appliance list) in a CSV file. This right applies to data processed by us on the basis of your consent or for performance of a contract, and which is processed by automated means.
- Withdraw Consent: In cases where we rely on your consent to process personal data (such as sending marketing emails), you have the right to withdraw that consent at any time. Withdrawing consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, and it won’t affect processing that is legally based on other grounds (for example, we might still process data to perform a contract or comply with a law). If you withdraw consent for marketing, we will stop sending you promotional communications. You can do this easily by clicking “unsubscribe” in any marketing email or adjusting your account preferences.
- Marketing Preferences: Even if you don’t fully withdraw consent, you can control your communication preferences. You can opt out of certain types of emails (for example, you might opt out of newsletters but still receive recall alerts and transactional messages). We will only send you third-party promotional information if you have told us you are interested and you can opt out of such messages at any time.
To exercise any of these rights, you can contact us at the contact information provided at the end of this Privacy Policy or use the self-service tools provided in your account settings (where applicable). We may need to verify your identity before fulfilling certain requests (to ensure we don’t disclose data to an unauthorised person). We will respond to your requests within the timeframes required by law (usually within one month).
User Controls on the Platform: In addition to formal rights, we provide various controls on the platform for you to manage your data directly:
- You can edit your profile information and account details when logged in.
- You can link or unlink appliances in your account settings (noting the 30-day notice for final unlinking as described in the Terms of Use).
- You can delete messages or listings you’ve posted.
- You may be able to download data from your account (we may offer a feature to export your appliance data or transaction history).
- You can manage cookie preferences via our cookie banner or your browser settings.
If You Register Appliances on Behalf of Others: If you ever provide personal data about someone else (for example, if a landlord registers an appliance located at a tenant’s home and thus provides the tenant’s address or contact for recall notices), you must ensure you have the other person’s consent to do so
Generally, our platform is intended for individuals to register their own appliances, but in cases of third-party registrations, we treat the data in accordance with this Policy and expect the person inputting it to have proper authority.
Children’s Data: EEESafe’s services are directed only at Citizen 18+. We do not knowingly collect personal data from children. If we become aware of anyone under18 has provided us with personal information, we will take steps to delete it. Parents or guardians who believe their children under 18 may have given us data can contact us to request deletion.
Accuracy and Updates: We want to make sure that your personal information is accurate and up to date. If you believe any information, we hold about you is incorrect or incomplete, please let us know as soon as possible
We will promptly correct any inaccuracies or omissions.
Data Sharing and Disclosure
EEESafe does not sell your personal data to third parties for their own marketing use
We only share your information in the following circumstances and with appropriate safeguards:
- With Other EEESafe Users: In order to facilitate transactions and interactions on the platform, certain information is shared with other users by necessity. For example, if you are a consumer who requests a repair, the repairer who accepts your request will receive your contact details (such as your name, city/neighbourhood, and phone or email) and any relevant appliance information, so they can carry out the service. Similarly, if you are selling or donating an appliance, interested parties will need a way to contact you and know the pickup location (we may initially provide a messaging system that hides your email until you choose to share it). We endeavour to only share the information that is needed for the particular interaction. For instance, a buyer might see your first name and general area but not your full address until a deal is confirmed. By engaging in a transaction, you consent to this exchange of information. Please exercise caution in what personal data you choose to share via messages or publicly on listings.
- With Service Providers: We employ trusted third-party companies and individuals to help us operate, provide, and improve our services (“data processors”). This includes web hosting providers, database/cloud storage providers, payment processors, email service providers, analytics tools, and customer support tools. These third parties process data on our behalf and are contractually obligated to safeguard your information and use it only for the purposes we specify. For example, our payment processor will handle your credit card transaction and inform us of the result; our email provider will send out the email notifications we generate for you. We share the minimum necessary information with these partners – e.g., our email service gets your email address and the content of the message to send you; our analytics provider gets site usage info (possibly anonymised) to produce usage metrics. All such providers are chosen for their commitment to security and privacy.
- With Regulatory and Safety Bodies: One of EEESafe’s missions is to improve appliance safety. Accordingly, we may share relevant data with government agencies, safety regulators, or authorised bodies that have a role in product safety, fire prevention, or consumer protection. For example, fire safety services or trading standards authorities may be granted access to appliance repair records or location data to track and mitigate potential fire hazards
If a government safety recall agency requests information about how many of a certain model are registered in a region (to coordinate recall efforts), we might provide aggregated numbers or contact information (with appropriate legal basis). We will only share personal data with such entities when there is a legitimate need: either with your consent, or where required by law, or in the vital interest of safety. For instance, if an appliance you own is found to pose an immediate danger, we might work with local authorities to warn you or even facilitate an inspection, sharing your contact/address as needed to protect you. Any sharing with regulators is done in line with applicable data protection law and often under a memorandum of understanding or legal obligation that ensures the data is used solely for safety purposes.
- With Partner Organisations: EEESafe sometimes works with partner organisations (such as local community groups, charities, or training centres) as part of our LocalitEEE community model. If you participate in a community program (for example, a training course or a community appliance donation event) coordinated by EEESafe and a partner, we may share information with that partner as needed for the program. This could include your name and participation status, and any relevant info (like known skills if it’s a training placement). Partners are typically bound by confidentiality or data-sharing agreements. We do not share your personal data with third parties for them to market to you without your explicit consent
We also do not share appliance-specific data with manufacturers or retailers for commercial purposes; any sharing of appliance data is only for safety/recall verification or to support the services you requested.
- With Law Enforcement or When Legally Required: We may disclose your personal information if required to do so by law or in response to valid requests by public authorities. This includes responding to court orders, subpoenas, or lawful requests by government agencies (for example, for national security or law enforcement). If a user is involved in fraud or another illegal activity, we may share data with police or investigators (e.g., providing transaction records or user communications) as part of an investigation. We will evaluate each request to ensure it has proper legal basis and only provide the data specifically demanded. Additionally, if necessary to prevent imminent harm or protect legal rights, we may share information – for instance, exchanging information with other companies and organisations for fraud protection and credit risk reduction is a possibility (though we currently have no such routine exchanges beyond using standard fraud-detection services on payments). We will share data to prevent fraud or crime when permitted by data protection law
- Business Transfers: If EEESafe undergoes a business transaction such as a merger, acquisition by another company, or sale of all or a portion of its assets, your personal data may be transferred to the successor organisation. In such cases, we will ensure the new owner has to respect this Privacy Policy or give you notice and possibly obtain your consent before your personal data is used in any new way. Similarly, if EEESafe were to establish a new but related service under a different company, we would not transfer your data to that new service without your consent if it’s outside the original scope. (At present, EEESafe is a not-for-profit social enterprise; if any reorganisation occurs, data protection will remain a priority.)
- Aggregated or Anonymised Data: We may share aggregated, anonymised information publicly and with our stakeholders or partners. For example, we might publish a report showing the total number of repairs performed via EEESafe in a year, or the reduction in carbon footprint achieved, or use anonymised quotes/testimonials. This information will not include any personal details that could identify you. For instance, we might highlight a success story like, “A user in Swansea repaired 5 appliances, saving X kg of waste” without naming the person.
- With Your Consent: In situations other than those above, if we ever need to share your personal data with a third party, we will obtain your consent. For example, if an outside research group wanted to survey our users or if a manufacturer wanted to offer extended warranties to people who register their appliances, we would ask if you were interested before providing your contact info.
In all cases of sharing, we strive to adhere to the principle of data minimisation: only sharing what is necessary for the purpose at hand. We also ensure that any third party that receives personal data from us has an obligation to protect it. We will never sell, rent, or trade your personal information to third parties for their own marketing purposes
Data Security Measures
EEESafe takes the security of your personal data very seriously. We have implemented a variety of technical and organisational measures to prevent unauthorised access, alteration, disclosure, or destruction of your information
These measures include:
- Encryption: Our website employs HTTPS encryption (TLS) to secure data in transit. This means that the information you exchange with our site (such as login credentials or form inputs) is encrypted while it travels over the internet. Sensitive personal data and passwords are stored in encrypted form in our databases. We also encourage you to choose a strong password and keep it confidential. We never store plain text passwords; only hashed versions.
- Access Controls: Personal data is stored on secure servers with restricted access. Only authorised EEESafe staff or contractors who need to process your data (for example, our system administrators or customer support personnel) have access to personally identifiable information, and even then only to the data necessary for their role. All such personnel are bound by confidentiality obligations. We enforce the principle of least privilege.
- Physical Security: Where personal data is stored on physical servers or in data centres, those facilities have robust security (e.g., gated entrances, CCTV, access logs, and in some cases biometric access controls). EEESafe itself is a digital service, so we rely on reputable hosting providers that furnish secured data centre environments with redundancy and monitoring.
- Firewalls and Network Security: We use firewalls and intrusion detection/prevention systems to guard our network perimeter. Security patches and updates are applied regularly to our software and systems to mitigate vulnerabilities. Our platform is built with security in mind, and we conduct periodic security audits and penetration testing to uncover and address potential threats.
- Backups: We maintain regular backups of critical data in encrypted form. This ensures that in case of any data loss event, we can restore information (which indirectly protects integrity and availability). Backup data is stored securely and with access control, similar to live data.
- Monitoring: We monitor our systems for suspicious activity and have systems to alert us of potential unauthorised access. For example, we track repeated failed login attempts and may lock accounts or prompt additional verification if something seems suspicious. We also utilise anti-malware and security scanning services to detect anomalies.
- Employee Training and Policies: All EEESafe team members are trained on data protection best practices and our internal security policies. We treat user data as confidential. We have procedures in place for handling any suspected data breach, which include notifying affected users and authorities as required by law.
- Third-Party Security: When we work with third-party processors (like cloud hosts or payment providers), we ensure they meet stringent security standards (many of our partners have industry certifications like ISO 27001 or SOC 2). We have Data Processing Agreements that require them to protect your data at least as well as we do.
While we strive to protect your information, it’s important to note that no system can be guaranteed 100% secure. However, we continuously update and refine our security practices to meet or exceed industry standards. EEESafe will promptly notify you and the relevant authorities of any data breach that is likely to result in a high risk to your rights and freedoms, as required by law. We also remind users to play a role in security: please keep your account credentials safe, log out of shared devices, and inform us immediately if you suspect any unauthorised access to your account.
Data Retention and Deletion
We will retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, as outlined in this policy, and to satisfy any legal, accounting, or reporting requirements
In general:
- Account Information: If you have an account with EEESafe, we will keep your personal information for as long as your account is active. This allows us to provide you with the service (e.g., to show your appliance records and enable transactions). If you choose to delete your account or if it is inactive for an extended period, we will initiate the deletion or anonymisation of your personal data. However, some data may be archived for a time in our backups before those are rotated out.
- Appliance and Transaction Records: Data related to appliance registrations, repairs, and transactions may be retained for longer periods because it contributes to a public safety interest and our service history. For example, appliance Digital Twin records may be kept even after an appliance is unlinked from an account, to maintain a historical safety log (with personal identifiers removed once the user has unlinked or deleted their account). This ensures that if an appliance re-enters the market or if historical safety analyses are needed, the information is available in anonymised form. Similarly, a record of a repair service might be kept to have evidence of what work was done on a device, which is valuable for future owners or safety investigations – but again, once personal links are no longer needed (like the user is gone), that record can be anonymised or just reference a repairer ID without a name.
- Legal and Regulatory Retention: We may need to retain certain data for legal compliance. For instance, financial transaction records might be kept for 7 years to comply with tax and accounting laws. If a safety incident or injury claim occurs involving an appliance on our platform, we might retain related data until the matter is resolved (and possibly beyond, if law requires). If a user was banned for fraud or safety violations, we may keep information about that incident to support potential future legal claims or defence.
- Communication Records: Emails and customer support correspondence may be retained for a period (often 2-3 years) to help us reference past communications if you reach out again, and to improve our services. After that period, they are deleted or anonymised unless still relevant.
- Analytics Data: Aggregated analytics data that does not identify users may be kept indefinitely. Raw logs and analytics with personal identifiers (like IP addresses) are typically retained for a shorter time (for example, web server logs might be kept for a few months) unless used for security analysis, in which case specific logs may be stored longer.
- Backup Retention: Our backup systems may store snapshots of data that include your information. These are securely stored and rotated. Even after active databases are cleaned, it’s possible some data could linger in backups for a certain retention cycle (often backups are retained for a rolling period like 30-90 days). We have processes to ensure that when backups expire, they are deleted/destroyed.
When the retention period for any data expires, or if you make a valid deletion request, we will ensure your data is either securely deleted or anonymised so that it can no longer be associated with you. Anonymisation means we might keep the core information (e.g., “Appliance X was repaired in 2024”) without any personal reference to you attached to it. This allows us to retain useful service statistics without retaining personal data.
Account Deletion Requests: If you request deletion of your account, we will remove personal data that can identify you, except for data we are required or permitted to keep by law. We will also detach your identity from any content you provided (for example, making forum posts or reviews anonymous if they remain visible). We aim to complete deletion requests within 30 days of verification, in line with regulatory guidelines. Some residual information may remain in our archives or logs for a short period, but we will continue to protect it in accordance with this policy and delete it in the normal course of our data retention schedule.
Ceasing Communication: If you unsubscribe from marketing emails, we will put your contact on a suppression list to ensure we respect your choice in the future. We will retain just enough information (like your email) to fulfill your opt-out request indefinitely (so we know not to contact you), unless you request full deletion of all your data.
Retention for Safety Register: It is worth noting again the special case for the Appliance Safety Register data: We treat the safety register somewhat like a public good. If you remove an appliance from your account, we may keep the basic record of that appliance (and your personal link) for the life of the appliance or until it’s confirmed scrapped. This is so that, for example, if a serious recall is issued in the future, our database still reflects that the appliance existed and possibly where it was last known, aiding in public safety efforts. However, once you’ve disassociated, that record would no longer be personal data (since it’s not linked to an identifiable person), and thus its retention is outside of privacy law scope. Your personal involvement (name, ownership) would be erased or anonymised after the appropriate time.
In plain terms: We keep your data only as long as we truly need it. When we no longer need personal data, we delete it or anonymise it. We also periodically review the data we hold and delete anything we no longer require. If you have questions about specific retention periods for certain data types, you can contact us for more information.
Your Choices and Obligations
Optional Information: You can choose not to provide certain information on our platform. For instance, you can browse some parts of our site without creating an account or you might decline to fill out optional profile fields. Note that some data is necessary for the core functionality – for example, without providing an email, you cannot create an account; without registering an appliance, you won’t receive recall alerts for it. We will make it clear what information is required versus optional at the point of collection.
Privacy Settings: EEESafe may provide settings to customise your privacy. For example, you might have control over what parts of your profile are visible to others, or whether your profile appears in public search engines. We encourage you to review any available settings to ensure they match your preferences. By default, we try to keep your information as private as possible while still enabling platform functionality.
Community Features: If our platform includes community features like forums or social networking, be aware that any information you share publicly can be seen by others. Avoid posting personal details in public areas you wouldn’t want disclosed. Our team moderates’ content for appropriateness but cannot always prevent misuse of information shared publicly. You are responsible for any personal data you choose to publish in public sections of EEESafe.
Do Not Track: Some browsers have a “Do Not Track” (DNT) feature. At this time, our site does not respond to DNT signals in any special way, because there is not yet a common industry standard for DNT. However, we treat all users’ data with the same high level of respect and you can always opt out of analytics cookies through our cookie settings.
Third-Party Links: Our website or app may contain links to external websites (for example, a link to a manufacturer’s recall page or a partner’s site). If you follow these links, understand that we do not have control over those third-party sites. They have their own privacy policies, which may differ from ours. We are not responsible for the privacy practices or content of external websites
We encourage you to read the privacy statements of any other sites you visit via links from our platform. This Privacy Policy applies solely to data collected by EEESafe.
International Data Transfers
EEESafe is based in the United Kingdom. Generally, we store and process data on servers located in the UK, the USA or other jurisdictions within the European Economic Area (EEA). We may move our Server location for cost or security reasons on the basis of “in the best interest of our customers”. However, some of our third-party service providers may be located outside of the UK or EEA. If your personal data is transferred to or accessed from a country outside the UK (or EEA) that does not have an adequacy decision from the UK government (or European Commission), we will ensure appropriate safeguards are in place to protect your information. These safeguards may include Standard Contractual Clauses approved by regulators or requiring the recipient to adhere to frameworks like the UK International Data Transfer Agreement.
EEESafe currently only operates in the UK and our Servers are Geo Fenced to prevent access, except periodically to work with Developers outside of the EU and UK Jurisdiction.
Updates to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. If we make material changes, we will notify you by email (if you have provided one) or by posting a prominent notice on our website. You should review this page periodically to stay informed of any updates
The “Last Updated” date at the bottom of this policy will indicate when the latest changes were made. Continued use of the EEESafe platform after any modifications to this Privacy Policy will constitute your acknowledgment of the changes and agreement to abide by the updated policy.
Contact Us
EEESafe Ltd is the data controller responsible for your personal information. If you have questions or concerns about this Privacy Policy or our data practices, or if you wish to exercise any of your rights, please contact us:
- By Email: pr*****@*****fe.com
- By Mail: We do not respond to or hold paper communications
For the purposes of UK data protection law, EEESafe’s Data Protection Officer (or privacy team) can be reached through the above contact information. We will do our best to address any request or concern you may have about your personal data.
If you feel that we have not adequately addressed your privacy questions or concerns, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) or your local data protection authority. You can contact the ICO on their website or by phone. We would, however, appreciate the chance to deal with your concerns before you approach the ICO, so please consider reaching out to us first.
Thank you for trusting EEESafe. Your privacy and safety are paramount to us, and we are continuously striving to keep your data secure while delivering valuable services to you and your community.
Data Handling for Micro-Grants (PLEEECash)
To facilitate transparent community funding, EEESafe records data on:
- Voting participation
- User appliance registration status (to confirm eligibility).
- Grant recipients’ basic details (limited to name and community).
- This data is used exclusively for managing the PLEEECash program and is never shared externally for marketing purposes.
Business Directory & Stakeholder Data Collection
EEESafe maintains a **LocalitEEE Business Directory**, which stores:
- Business identity details (name, address, repair services, and optional insurance verification).
- Waste reduction and economic impact metrics.
- Repairer profiles, including user ratings and repair history.
- Business users may request removal from the directory but acknowledge that anonymised metric contributions may remain for public transparency.
Payment Processing:
We use a trusted third-party banking partner to handle all financial transactions on the EEESafe platform. This means EEESafe does not directly receive, process, or store your personal bank account or credit card details. When you make a payment (for example, to pay a fee or donate via PLEEECash), you will be securely redirected to our payment provider’s system to enter your payment information. Your sensitive financial data (like card numbers or bank login details) never passes through or stays on EEESafe’s servers.
Instead, the third-party payment processor communicates back to us with a confirmation of the payment (for instance, a transaction ID and payment status) once your transaction is completed. We retain only the minimal details needed for record-keeping – such as the transaction reference, date, and amount – and no full banking information.
This arrangement is in place to protect your privacy and security: by entrusting payments to an accredited banking service, we ensure that your financial information is handled with industry-standard encryption and compliance with all applicable data protection and payment security regulations.
In short, your payment details remain confidential with our payment partner, and EEESafe only keeps what’s necessary to confirm that your transaction was successful. We believe in being transparent about this process so you know that your banking information stays safe and is not stored by EEESafe.
By providing your payment details at checkout, you consent to their use by our third-party payment provider solely for the purpose of processing your transaction. If you have any questions about our payment processing or data handling, please contact us at pr*****@*****fe.com.
Legal Basis for Processing: We process your personal data under the following legal bases depending on the nature of our interaction: (a) to fulfill our contractual obligations to you; (b) based on your consent where required (e.g., marketing communications); (c) to comply with legal obligations (e.g., record-keeping for tax purposes); (d) where it is in our legitimate interest to do so, such as improving platform functionality or ensuring community safety.
